1. Who is responsible for your data

Proline Auto ("we", "us", "our") is the data controller for personal data collected through this website and during our work with you. Our workshop is at Great Grove Farm, Ottershaw, Chertsey, KT16 0HT.

2. What we collect

We collect only what we need to do the job and stay in touch:

  • Your vehicle's registration number, make, model, and reported fault
  • Records of the work we carry out, including parts fitted, mileage, and any diagnostic readings
  • Payment information at the point of invoicing — card details are processed by our card terminal provider and not stored by us
  • Basic technical information when you visit this website (IP address, browser type, pages viewed) for security and analytics

3. Why we use it

We use your data to:

  • Provide a quote, schedule work, and contact you about your vehicle
  • Carry out and record the repair, service, or diagnostic work
  • Send invoices and process payments
  • Maintain a service history and honour our workmanship promise
  • Comply with legal and tax obligations
  • Improve this website and the service we provide

  • Consent — where you have given it (for example, to receive marketing emails, which we do not currently send)

5. Who we share data with

We do not sell your data. We share it only where necessary to do the job:

  • Parts suppliers — when ordering a part for your specific vehicle
  • Specialist sub-contractors — for example, machining shops or electronic repair specialists, where work is sent out under our supervision
  • Our accountant and HMRC — for tax and accounting purposes
  • Insurers and warranty providers — only where you have asked us to invoice them directly
  • Card payment provider — to process payments

We will never share your data with third-party marketers.

6. How long we keep it

We keep contact details and service records for as long as you are a customer, and for up to seven years after your last visit to comply with HMRC requirements and to support our workmanship promise. After that, records are securely deleted or anonymised.

7. Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the personal data we hold about you
  • Have inaccurate data corrected
  • Ask us to delete data, where we are not required to keep it
  • Object to processing based on legitimate interest
  • Restrict how we use your data while a query is resolved
  • Withdraw consent at any time, where we are processing on the basis of consent

8. Cookies

This website uses a minimal set of cookies for essential site function and basic analytics. We do not use advertising or tracking cookies. You can disable cookies in your browser; the site will continue to work normally.

9. Security

We protect your data with appropriate technical and organisational measures: encrypted connections (HTTPS), access controls on workshop systems, and physical security at the workshop premises. No system is perfect — if we ever became aware of a breach affecting your data, we would notify you and the ICO as required.
